An AI phone agent that books appointments into your Google Calendar during the call
Avoonta gives you an AI phone agent that checks your free times and books an appointment while the lead is still on the phone. You connect Google Calendar, set the agent's goal to Book on my calendar and publish your changes.
How the agent books a time on the call
Once the lead is a good fit, the agent checks your calendar for free times up to 14 days ahead. It offers two or three of those times, in your calendar's time zone, and never offers a time the calendar didn't give.
When the lead picks one, the agent reads back the day, date and time and asks them to confirm. It books only after a clear yes and says "you're booked" only once the booking is done.
- At most one appointment per call.
- If the time was just taken, the agent offers others.
- It never asks for or spells out an email address.
- If booking isn't possible on this call, it doesn't promise a specific time and says the team will confirm.
Connect Google Calendar in three steps
Booking needs a connected calendar and the right goal. Publishing is when the agent gets its booking tools.
- Connect Google Calendar under Settings > Calendar. Outlook / Microsoft 365, HighLevel calendar, Cal.com and your own booking system are also supported.
- Set the agent's goal to Book on my calendar on the Basics tab.
- Press Publish changes after connecting the calendar or changing the goal.
- Only owners and admins can connect or disconnect a calendar.
Book appointments from new leads and incoming calls
When a lead arrives from your trigger link, an integration or the API, the agent rings them within seconds, asks your questions and helps them take the next step. Assign the agent to one of your Avoonta numbers and it picks up incoming calls as a receptionist.
Inbound calls are answered 24/7, and booking works as it does on outgoing calls. When an inbound call ends with an appointment booked, you get an email with the caller's number, summary, answers and a Call back link.
Follow-up when a lead doesn't answer
Most bookings happen on call 2 or 3. The follow-up plan decides what the agent does when a lead doesn't pick up.
If your workspace has a booking link, the agent can offer to text it to someone who would rather pick a time themselves. It only sends your booking link, and only if the person agrees.
- Call up to 1, 2 or 3 calls in total, counting the first call.
- Wait 15 minutes, 1 hour, 2 hours, until the next day, or a custom gap between calls.
- Unanswered calls and voicemail checks are free to you.
What you see after a booking
The lead's status becomes Booked, and you get an "Appointment booked" email if it's switched on. Booked appointments show on the call's details and count as Booked on the agent's card.
The lead can get a confirmation text with the day and time, which needs an approved texting registration. If a hot lead asks for a person and nobody on your team picks up, the agent can book them in instead.

Compliance on every call
- AI disclosure. Every call, outgoing and incoming, opens with a fixed line saying the agent is an AI assistant for your business.
- Consent. In the US, an AI agent may only call or text people who agreed to be contacted by your business. Avoonta refuses to call a lead without that agreement, and keeps proof of it with every call and text.
- Calling hours. Avoonta only dials, retries and texts between 8:00 AM and 8:00 PM in the lead's own local time.
- Do-not-call list. The list is checked before every dial, retry and text. If it cannot be read for any reason, Avoonta refuses to dial rather than guess.
Questions
Which calendars can the agent book into?
You can connect Google Calendar, Outlook / Microsoft 365, HighLevel calendar, Cal.com or your own booking system under Settings > Calendar.
Will the agent offer a time I'm not free?
No. It only offers times your calendar returns as free, and if a time was just taken, it offers others.
What happens if my calendar disconnects?
You get a "Calendar disconnected" alert and email, and agents can't book until you reconnect. They can still text your booking link if you set one.
Why didn't my agent book an appointment?
Check that a calendar is connected and the goal is Book on my calendar. If the agent was published before the calendar was connected, press Publish changes. It also can't book when no free times are available in the coming days.
Can the agent book appointments for people who call me?
Yes. Assign the agent to one of your Avoonta numbers, and booking works on incoming calls as it does on outgoing calls.
