Set your follow-up plan

Most bookings happen on the second or third call. The follow-up plan decides what Your agent does when a lead does not pick up.

Step by step

  1. Open AI Agents, press Edit on the agent, and choose the Follow-up plan tab.
  2. Under If there's no answer or it goes to voicemail, set Try again up to 1, 2 or 3 times. Three times means at most 3 calls in total, counting the first.
  3. Set Before call 2, wait and Before call 3, wait: 15 min, 1 hour, 2 hours, Next day or Custom. For “Next day”, pick the time in the lead's own time zone.
  4. Under Text after voicemail, turn on Send a text when Alex reaches voicemail.
  5. Write the Message. Use Insert to add the lead's first name, your business or your booking link. “Reply STOP to opt out” is always added for you.
  6. Check the counter under the message. Up to 160 characters is 1 text, which costs $0.02.
  7. Look at the Preview at the top to see what a lead who never answers would get, then press Publish changes.

When the plan stops by itself

The plan stops right away when the lead books, says they are not interested, replies STOP or asks not to be called, or calls your number back. These rules cannot be turned off.

Retries only happen within calling hours. If a try would land at night, the agent waits until hours open. See Calling hours and holidays.

WhatsApp

Sending follow-ups by WhatsApp is Coming soon. For now, follow-ups go by text (SMS).
